EDI

What is EDI?

EDI (Electronic Data Interchange) is a way for companies to automatically exchange business documents in a standardized digital format.

This means that, for example, orders, invoices, delivery schedules, and notifications are sent directly between ERP systems—without manual handling.

In short, EDI automates the flow of information between companies and reduces the need for manual data entry.

 

How does EDI work?

EDI is based on information being transmitted in a predefined and structured format that both parties understand.

A typical process looks like this:

  1. A document is created in the ERP system (e.g., an order)
  2. The document is translated into an EDI format
  3. The information is sent digitally to the recipient
  4. The recipient’s system automatically interprets and registers the information

 

Result:

  • No manual data entry
  • Fewer errors
  • Faster processes

 

Examples of what is sent via EDI

Common documents handled via EDI include:

  • Orders
  • Order confirmations
  • Invoices (sometimes called EDI invoices)
  • Delivery notifications
  • Delivery schedules

 

EDI is primarily used between companies (B2B) with recurring business processes.

 

Common EDI standards

To ensure that systems can understand each other, different file formats and standards are used:

  • EDIFACT – global standard and the most widely used
  • Odette – used within the automotive industry
  • SFTI – used in the public sector in Sweden
  • XML – exists in many variations and is well suited for handling thanks to its clear structure

 

The standards ensure that the information is interpreted correctly regardless of the system.

Web EDI makes it possible to work with EDI without advanced technical implementation.
